Key Objectives

  • Provide comprehensive administrative support to multiple teams remotely.
  • Manage schedules, correspondence, and project follow-ups efficiently.
  • Ensure timely communication and coordination across departments.
  • Assist in organizing meetings, preparing reports, and maintaining documentation.

Responsibilities

  • Handle email management, calendar scheduling, and appointment coordination.
  • Prepare and edit documents, presentations, and reports as needed.
  • Assist with data entry, record keeping, and file organization.
  • Coordinate virtual meetings, including sending invites and managing logistics.
  • Support internal communication by drafting and distributing updates.
  • Conduct basic research and compile information for projects.
  • Manage travel arrangements and expense tracking when required.
  • Collaborate with team members to ensure deadlines and priorities are met.

Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Excellent written and verbal communication skills in English.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with virtual communication tools such as Zoom, Slack, or Microsoft Teams.
  • High level of discretion and confidentiality when handling sensitive information.
  • Reliable internet connection and a dedicated workspace for remote work.
  • Ability to work independently and as part of a collaborative team.

Qualifications

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
  • Prior experience supporting software or technology teams is a plus.
  • Basic understanding of project management tools (e.g., Trello, Asana) is advantageous.
