Job Description

We are seeking a highly experienced Executive Assistant to the CEO & Operations & Growth Manager to support the founder directly while helping manage daily operations and business growth.

This role combines high-level executive support, operational oversight, and growth strategy. The ideal candidate is proactive, detail-oriented, and experienced in supporting founders or C-suite executives in fast-moving environments.

Note: This is not an entry-level role. We are seeking someone who already have 3-5 years of experience managing executive priorities, operations, and supporting business growth.

* Manage the CEO’s inbox, communications, and calendar scheduling.
* Prioritize emails, flag urgent matters, and draft professional responses.
* Coordinate meetings, appointments, and business communications.
* Maintain discretion and confidentiality regarding executive matters.
* Assist with documentation, reports, and executive follow-ups.
* Act as a gatekeeper to protect the CEO’s time and focus.
* Manage order fulfillment through Shopify and ShipStation.
* Ensure accuracy in shipping labels, weights, batching, and order processing.
* Oversee inventory tracking and ensure digital inventory matches physical stock.
* Coordinate logistics and operational workflows.
* Manage and track the sales pipeline using GoHighLevel (GHL).
* Execute multi-step follow-up sequences with prospective clients.
* Support wholesale onboarding and transition leads into Shopify wholesale customers.
* Conduct weekly audits of shipping costs and contractor time logs.
* Maintain financial accuracy using QuickBooks.
* Track inventory records and operational data to ensure accuracy and efficiency.
* Identify inconsistencies or operational errors and resolve them proactively.
* Executive Assistant Experience: Minimum 3+ years supporting founders, CEOs, or C-suite executives.
* E-commerce Operations: Experience with Shopify and ShipStation.
* Business Systems: Familiarity with GoHighLevel (GHL), QuickBooks, Shopify, ShipStation, and ClickUp or similar project management tools.
* Operations & Auditing: Strong attention to detail when reviewing financial records, logistics, and operational processes.
* Communication: Excellent written and verbal communication skills.
* Confidentiality: Ability to handle sensitive information with professionalism.
* Sales Awareness: Comfortable supporting outreach and follow-up for B2B partnerships.
