Well-known American Insurance Company in Midtown Manhattan is seeking a new Full-Time/Permanent Event Manager to join their team. This is a newly created position! The Event Manager will be responsible for planning and executing high-quality internal and external corporate events that highlight business objectives, client engagement, and brand positioning. Candidates must have a minimum of 3-4+ years of applicable events experience, with at least 2 years of experience in corporate events and conferences, and a Bachelors degree is strongly preferred/required. Ideal candidates should be extremely polished and professional, client-facing, flexible, detail-oriented, organized, and possess excellent interpersonal and communications skills. - Salary depends on experience (105-125k) plus discretionary bonus eligibility.
- Hours are 9:00am-5:00pm, with flexibility. Hybrid 2-3x per week in office, with the flexibility to come in 5 days if needed for events. There could be weekend work (should an event be starting on a Sunday or Monday).
Responsibilities:- Manage the event planning and execution process from start to finish, including strategy, budgeting, vendor management, logistics, and on-site execution. Event types include receptions, client events, conferences, internal company offsites, and more (domestic and international).
- Create and adhere to budgets for each event forecasting and post event reporting.
- Source, negotiate, and manage third-party vendors.
- Ensure contracts and invoices are processed in accordance with company policies.
- Oversee on-site event operations, including set up, run of show, and strike.
- Manage on-site vendors and staff.
- Serve as primary point of contact for all internal and external parties.
- Meticulous meeting scheduling for large-scale, multi-day industry conferences.
- Manage conference registrations and secure meeting space.
- Book travel arrangements, including flights, transportation, accommodations, and restaurant reservations.
- Plan and execute client events, activations, and sponsorships when applicable.
- Coordinate with the Marketing and Reinsurance departments to ensure proper materials are prepared.
- Travel to the conferences to oversee and assist as needed.
- Draft and manage event invitations, attendee communications, registration tracking, and support post-event follow-ups.
- Assist with day-to-day marketing activities, including content coordination, collateral updates, and marketing asset organization.
- Help maintain the company website, social media presence, and external communications.
- Assist in preparing presentations, summaries, and communications for leadership.
- Help maintain marketing systems, tracking sheets, asset libraries, contact lists, and internal documentation.
Required Qualifications:- Minimum 3-4+ years of events experience with at least 2 years of experience in corporate events and conferences.
- Experience planning and executing events for 125+ guests.
- Extensive client facing experience.
- Willingness to work extended hours and occasional evenings or weekends during peak event periods.
- Able to manage multiple projects simultaneously in a fast-paced environment.
- A self-starter that is extremely detailed focused.
- Ability to think quickly on your feet and improvise in any situation.
- Bachelors degree strongly preferred/required.
- Reinsurance or finance industry experience strongly preferred.
- 1-2 years of experience in hospitality events strongly preferred.
- Experience dealing with C-suite level executives and stakeholders strongly preferred.
